Our Enquiry Process

An outline of each step for retreats

Step 1: A registered user makes an enquiry through the App.

The user has registered with The Global Retreat Company with a valid email address, clicked an ‘Enquire’ button for a retreat they are interested in, and filled in a quick form.


Step 2: A notification email is sent to the Retreat with the details and a link to access their dashboard. A confirmation email is sent to the user.

All the personal details of the user and their request are kept securely within the system.


Step 3: On the dashboard the retreat can:

  • ask the user further questions in a text field

  • add an offer to the enquiry for the user to accept in the offer field

  • close the enquiry if they have no availability

If the retreat does not respond to the initial enquiry after one working day, they will be sent a reminder email. This will be repeated every working day for 3 days.

Step 4: If the retreat has responded, the user will be sent an email to confirm they have a response.

They will be able to view the response in the dashboard and can either:

  • ask another question

  • accept the offer

  • decline the offer


Step 5: The user accepts the offer.

  • An email confirmation is sent to the user

  • An email notification is sent to the Global Retreat Company admin team

  • An email is sent to the retreat with the final details, including user contact details, to allow them to finalise the booking directly

  • The status of the enquiry changes ‘to be approved’.

  • When the booking has taken place, please approve it.
